Event Types
An event type is one kind of meeting a guest can book. It holds the name, the length, the place, the hours it uses, and the questions guests answer.
Create an event type
- Open Settings → Event Types and create or edit an event type.
- Give it a name and a length. That is all a new event type needs.
- Open it and pick a schedule under Availability. Without a schedule the event type offers no times.
- Add it to a booking page so guests can book it. Press Add to a booking page in the Booking pages row, or add it from the page with Add event types.
The editor has three cards with one Save button: Details, Availability and Booking form. Below them sit the series, email, reminder and policy cards, each with its own Save.
Details
- Name and Description. Guests see both on the booking page. The description is optional.
- Host. The member who takes the meetings. New bookings go to the host, with the host's calendar. See Host and who can edit.
- Duration. One length in minutes, from 1 to 1440. An event type has a single length. Guests cannot pick a different one.
- Location. Choose In person, Custom link, Google Meet, Zoom, Phone call or Microsoft Teams. One choice replaces the others. Meet and Zoom stay locked until you connect the account.
- Phone call has two modes. With I will call the guest, the Phone number field on the booking form is always shown and required, even if you hid it. You see the guest's number on the booking, in your email and in your calendar event. With The guest calls me, you enter your number and an optional extension. Guests see it as a number they can tap to call on the confirmation page, in their emails and in the calendar invite. The number can have digits, spaces, brackets, dashes and a leading +, but no letters.
- Microsoft Teams. Paste a Teams meeting link that starts with https://teams.microsoft.com or https://teams.live.com. Every booking of the event type uses that link, and guests see it with a Microsoft Teams label. CallSlot does not create Teams meetings for you yet.
- Max attendees. Set this for group meetings, where several guests book the same time. Leave it off for one guest per time.
- Color. A label colour that helps you tell event types apart.
Host and who can edit
- The host and space admins can edit an event type. If the host shares their hosting, anyone in the space can edit it too. See Share your hosting.
- Only the host and space admins can delete an event type.
- Under Availability you can pick your own schedules, and the schedules of members who share their hosting.
- To change the host, open the event type and pick a member under Host in Details. Then save.
- Check Availability and the calendar. Pick hours and a calendar that belong to the new host or to a member who shares their hosting.
- Only the current host or an admin can change the host. The new host must be you or a member who shares their hosting.
- Bookings already made keep their host. New bookings go to the new host. Changing the host does not change the hours: new bookings use the schedule picked under Availability, so check it after a host change. The calendar goes back to the new host's default unless you pick another.
- If the host stops sharing, the event type keeps working. If the host is removed from the space, the event type stays as it is, and nobody can pick them as a host again.
Availability
Schedule is the weekly hours this event type uses. It is optional in the form, but an event type without one offers no times.
The same card holds the limits that narrow those hours: Time slots, Buffer before, Buffer after, Minimum notice, Booking window and Check calendar conflicts.

Maximum bookings
Maximum bookings is in the Availability card. It sets the most bookings this event type takes Per day, Per week and Per month. Leave a field empty for no limit.
Every booking of this event type counts until it is cancelled or deleted: from any booking page, from an On The Fly Link and from the API. A multi-date series counts one booking for each date. On an event type with room for several guests, a guest who joins a time that is already booked does not add to the count.
Days, weeks and months follow the time zone of the event type's schedule, not the guest's. A week starts on the day you chose in Start of week in your preferences. If you never saved that setting, a week starts on Monday.
When a day, week or month is full, guests see no times in it. If two guests try to take the last place at the same time, one of them gets it. The other is told that the time is no longer available. Guests never see how many places are left.
A booking that is moved is not counted twice, so a guest can move it to another time in the same full day, week or month. When a booking is cancelled or deleted, its place opens again.
A shorter period cannot have a higher limit than a longer one. For example, 5 per day with 3 per week is refused.
Booking form
Every form asks for Name and Email. It also has two ready-made fields, Phone number and Business name, which you can rename, make optional or hide.
You can add up to 10 questions of your own, and set Required or Hide on each one. See Booking form.
Booking policies
Policies decide what a guest may do after they book: Guests can cancel, Guests can reschedule, Minimum notice to cancel and Minimum notice to reschedule.
- Let guests add other guests. Off by default. Turn it on and the guest's booking form gets an Add guests button, where they can add up to Maximum guests per booking extra guests by email.
- Maximum guests per booking. Default 5, from 1 to 10. Turning Let guests add other guests off keeps this number for next time.
Extra guests are listed as attendees on your calendar event and in the ICS file sent to the guest who added them. CallSlot sends them nothing itself. They get no manage link, so they cannot cancel or reschedule, and they do not use a seat. A guest cannot add their own email as an extra guest.
If you turn Let guests add other guests off while a guest is booking, they see: This booking no longer accepts extra guests. Remove them and try again.
Policies are on every plan. They apply to bookings you already have, not only to new ones. They never stop you cancelling or moving a booking yourself.
Multi-date series
Multi-date series lets a guest book several dates in one go, instead of one booking at a time. It is a Pro feature. See Multi-date series.
Always invite
Always invite adds the same people to every new booking of this event type. Pick members of your space, and add other email addresses, such as a shared support inbox.
- Members you pick join each new booking as teammates. They get the calendar invite and the same booking emails as the host.
- Other email addresses join each new booking as attendees. They get the calendar invite and the host emails. They are not guests: they do not take a seat and get no manage link.
- The list applies to new bookings only. When you change it, bookings you already have do not change.
- Everyone on the calendar event can see each other's email address, guests included.
Reminders and emails
On Hobby, every booking gets one reminder 24 hours before the start, to the guest and to you. On Pro it gets two: 24 hours and 1 hour before.
Custom reminders is a Pro feature. It lets you choose your own times and who each reminder goes to. See Reminders and emails.
Booking pages
The Booking pages row lists the pages that offer this event type. You cannot edit the list here. Each page keeps its own list of event types.
An event type that is on no page shows Not on any booking page yet. Guests cannot find it on a booking page.
Add to a booking page puts the event type on a page you pick. One event type can be on several pages. Its settings, such as length, schedule, notice, limits and questions, stay on the event type, so every page offers it the same way. You can add it if you host it, or if its host chose Anyone on my team. See Booking pages.
Delete an event type
Delete asks you to confirm with Delete event type? first. This cannot be undone. If you may want it back, remove it from its booking pages instead.
Not available
People often look for these. CallSlot does not have them yet:
- Several lengths on one event type. Make one event type per length.
- Approving a booking before it is confirmed. Every booking is confirmed at once.
- Taking payment from a guest when they book.
- Copying an event type. Create a new one and fill it in.
