Reminders and emails
Each booking sends emails on its own. You can change when the reminders go out, and on Pro you can write the emails yourself.
The standard emails
- Booking confirmation goes to the guest as soon as they book. It holds their private link to cancel or reschedule.
- A new booking notice goes to you at the same time, with the guest's answers.
- Booking reminder goes out before the start. See the cadence below.
- Booking canceled and Booking rescheduled go out when the meeting is called off or moves, to both sides.
- The confirmation and the moved-meeting emails carry a calendar file, and the cancellation carries the matching cancel file. Most calendar apps read it and update the entry.
- If we cannot write the meeting to your connected calendar, we send you a short alert. Guests never see it.
- Google Calendar never emails your guests about a CallSlot meeting. Every guest email comes from us. See Google Calendar.
When reminders go out
- On Hobby, one reminder goes out 24 hours before the start, to the guest and to you.
- On Pro, two reminders go out: 24 hours and 1 hour before the start, to the guest and to you.
Your own reminders
Custom reminders are a Pro feature. They are set per event type.
- Open an event type from Event Types and find Emails & reminders.
- Turn on Custom reminders.
- Set Time before start and Send to on each row, then use Add reminder for another.
- Save. The new cadence applies to bookings made after the save.
- You can have up to 3 reminders. Each one is 15 minutes to 30 days before the start, and no two can be at the same time.
- Send to takes the guest, you, or both.
- Reminders leave within about 5 minutes of the time you set, so a reminder cannot be closer than 15 minutes.
- If your plan drops to Hobby, custom reminders switch off and the event type goes back to the standard one. Nothing is deleted, and if they were on when the plan lapsed, upgrading turns them back on.
Write your own emails
Custom emails are a Pro feature, set per event type under Emails & reminders. Four guest emails can be written by you: Booking confirmation, Booking reminder, Booking canceled, and Booking rescheduled. Anything you leave alone uses the standard email.
- The subject holds 1 to 200 characters.
- The body is built from blocks: Heading, Text, Button, Divider, and Spacer. You cannot paste raw HTML.
- One email can hold up to 50 blocks and 200 KB of content.
- Your copy is sent exactly as you wrote it. It is never translated.
- The API and an AI agent can list, replace, and reset these four emails. They start from the seed the list call returns, and the same rules apply.
Variables
A variable is a placeholder we fill in for each guest. Use Insert variable in the editor, or type it. Variables work in the subject too.
- Guest: {{guest.name}} and {{guest.email}}.
- Meeting: {{event.title}}, {{event.startTime}}, {{event.endTime}}, and {{event.location}}.
- You: {{host.name}} and {{space.name}}.
- Links: {{manage.url}} for the guest's private link, {{rebook.url}} for your booking page, and {{confirmation.url}} for the confirmation page with the add-to-calendar buttons.
- Answers: {{answers.<question label>}}, one for each booking question. The editor lists yours for you.
- The confirmation and the moved-meeting emails must hold {{manage.url}}. Without it a guest has no way back to their booking, so we refuse to save.
- A variable we cannot fill leaves nothing behind. Guests never see the raw text.
Check it, then keep it or reset it
- The editor shows a live preview as you write.
- Send test to me sends the draft to your own address and nowhere else. You get 5 test sends an hour.
- Reset deletes your version and puts the standard email back. This cannot be undone.
- If your email cannot be rendered when a booking needs it, we send the standard email instead. The guest always gets something.
The CallSlot line
On Hobby, every email ends with a small Powered by CallSlot line. Pro can turn it off. See Billing.
