Availability
A schedule holds three things: the hours you work each week, the time zone those hours are in, and date overrides for single days. Event types use a schedule to work out the open times they offer.
Create a schedule
- Open Settings → Schedules.
- Select New schedule. The Create schedule box asks for a Name and a Time zone. Both are needed.
- Set the days and times you take meetings, then select Save. A new schedule starts at Monday to Friday, 09:00 to 17:00.
- Open an event type and pick this schedule under Schedule. Until you do, that event type offers no times.
Weekly hours
Weekly hours gives each day of the week a start time and an end time. The helper text reads: a day with no hours is closed.
- Add range gives a day a second block of hours, such as a morning and an afternoon.
- Remove every range on a day to close it. The day then shows Unavailable.
- A range must end after it starts. Hours cannot run through midnight, so split them into one range each side.
- Two ranges on the same day cannot overlap. CallSlot says: this range overlaps another range on the same day.
Edits take effect only after you select Save.
Date overrides
Date overrides change your hours for one date, or close the day entirely. Select Add date override, pick the date, then set new hours or tick Closed all day.
An override replaces the weekly hours for that date. It applies to every event type that uses this schedule.
More than one schedule
You can keep several schedules, each with its own name and time zone, and point each event type at the one it needs. The list shows how many event types use each schedule.
- A schedule belongs to its host. Everyone in the space can read it. Its host and space admins can change it. If the host shares their hosting, anyone in the space can change it too. Otherwise CallSlot says: this schedule belongs to another host.
- You can create a schedule for a teammate who shares their hosting. It belongs to them. See Share your hosting.
- A schedule an event type still uses cannot be deleted. CallSlot says: this schedule is still in use. Point those event types at another schedule first.
Time zones
Your hours are kept in the schedule's own time zone, so 09:00 stays 09:00 for you all year.
Guests see those times in their own zone. They can change it with the Time zone picker on the booking page.
What is not here
A schedule only sets the hours you work. Buffers, minimum notice, time slots and the booking window live on each event type, because they can differ per meeting. See Booking limits and Event Types.
