Booking form
The booking form is the last step a guest takes, after they pick a time. Each event type has its own form, so a sales call and a support call can ask different things.
Where to edit it
- Open Settings → Event Types and pick an event type.
- Go to the Booking form section.
- Edit the fields, then press Save. The change shows on the booking page at once. Bookings you already have keep the answers they were made with.
Default fields
Every form asks for Name and Email. A booking cannot exist without them, so there is nothing to configure.
Two more fields ship switched on:
- Phone number — required to start with. It is a phone field, so the guest gets a phone keyboard and the number is checked.
- Business name — optional to start with.
You can rename these two, turn Required off, or switch Hide on so guests never see them. You cannot delete them or change their type. A hidden field cannot be required, so switching Hide on turns Required off.
Your own questions
Press Add question under Booking questions. You can add up to 10. Each question needs a label of at most 200 characters, and each has its own Required switch.
There are four types:
- Short text — one line.
- Long text — a box for a paragraph.
- Single select — the guest picks one of your options. Up to 10 options, each at most 200 characters.
- Checkbox — a single yes or no box. Make it required and the guest has to tick it, which is how you get an agreement.
Add guests
Some event types let a guest bring other people. When the host turns on Let guests add other guests, an Add guests button appears after the host's questions.
- Press Add guests.
- Type an email address for each extra guest, one per row. The guest cannot use their own email.
- Press Add another guest to add more rows, up to the event type's Maximum guests per booking.
Extra guests are listed as attendees on your calendar event and in the ICS file sent to the guest who added them. CallSlot sends them nothing itself. They get no manage link, so they cannot cancel or reschedule the booking, and they do not use a seat.
If the host turns Let guests add other guests off while the guest is booking, they see: This booking no longer accepts extra guests. Remove them and try again.
Where the answers go
- The confirmation page echoes the answers back to the guest, unless you turn Show their answers off in the booking page's confirmation settings.
- Your own booking email carries them, and so does the guest's manage page.
- Webhooks carry them twice: as an answers list with the label and value of each one, and as an answersByKey object for looking one up directly.
- Your own email templates can drop an answer into the text with a token that names the question's label. See Reminders and emails.
Filling the form in from your website
If you already know who the guest is, pass their details to the booking page so they have less to type. Embed covers the snippets and the data attributes; the keys themselves are below.
- name, email, phone and company fill in the four default fields.
- q_ plus a question's id fills in one of your own questions. The id does not change when you reorder the form, so this is the safe way.
- a1 to a10 fill in your visible questions in the order they are shown. This counts positions on one event type, so avoid it on a page that offers several.
Rules worth knowing. A blank value is ignored. A single select value has to match one of your options exactly, or it is dropped. An answer for a question that is hidden, deleted or unknown is dropped too. If a key is passed both ways, the one that names the question id wins.
When the name and email are valid and every visible question is answered well enough, the guest skips the form. They see a short review with Edit details and Confirm booking instead. Anything missing or wrong, and the full form is shown with the good values already in it.
