Bookings
Every meeting booked through your pages shows on Bookings.
Upcoming and past
- There are two tabs: Upcoming and Past. Cancelled meetings stay in Past.
- The All event types menu keeps the list to one event type.
- A row shows the title, the time in your browser's time zone, the guests, and their answers to your booking questions.
- A meeting that is one date of a series carries a Date 2 of 6 badge.
- The list reads again each time you come back to the tab, so a meeting cancelled somewhere else drops out.
Cancel a booking
- On the Upcoming tab, select Cancel on the row. Cancelled rows have no buttons.
- Add a reason if you want to. It is optional, up to 500 characters, and it goes to the guest in the cancellation email.
- For one date of a series, choose Cancel this date or Cancel all dates. Dates that have already started stay as they are.
- You can cancel the meetings you host, and the meetings of a teammate who shares their hosting. Nobody else can, not even admins or the space owner.
- The guest is emailed, the reason is kept on the booking, and the time goes back on your page.
- Your booking policies limit guests, never you. A meeting you cannot cancel is one that has already started.
Make a booking for a guest
- On Bookings, select New booking.
- Pick the booking page and the event type, then an open time. Times show in your browser's time zone.
- Enter the guest's name and email, answer the required questions, and select Confirm booking.
- You can book for the event types you host, and for those of a teammate who shares their hosting. Admins can book for every event type in the space. The meeting goes on the event type host's calendar.
- The guest gets the same confirmation email as when they book themselves, with their private link to cancel or move.
- Only open times show. Times when the event type host's calendar is busy are left out, and draft pages can be booked too.
- A multi-date series cannot be booked here. Send the guest the booking page instead.
Move a booking
- On the row, or in the calendar side panel, select Move booking.
- Pick a new time and select Move to. The list shows open times on the same event type. It can also show the booking's current time. If you pick that time, nothing changes.
- You can move the meetings you host, and the meetings of a teammate who shares their hosting. Nobody else can, not even admins or the space owner.
- The guest gets an email with the new time, and the calendar event moves. The meeting link stays the same.
- You cannot move a meeting that is cancelled or has already started. One date of a series can move only to a time that keeps the series spacing.
Ask the guest to move a meeting
- Ask to reschedule emails the guest their private link. The guest picks the new time.
- The meeting does not move until the guest picks a time. To pick the new time yourself, use Move booking.
- The button shows on meetings that came from a booking page and are not cancelled.
- You can ask on the meetings you can move: the ones you host, and those of a teammate who shares their hosting.
Add teammates and change the host
- On the row, or in the calendar side panel, select Manage team.
- To add a teammate, pick a member of your space and select Add. To remove one, select the cross next to their name.
- To give the meeting to someone else, pick a member under Host and select Change host.
- You can change the team on the meetings you host. Admins can change it on every meeting in the space. A teammate can take themself off a meeting with Leave booking if the meeting is not cancelled and has not started.
- If the host shares their hosting, anyone in the space can change the team on their meetings. See Share your hosting.
- The new host must be you or a member who shares their hosting. Through the API or an AI assistant, the new host must be the space owner or a member who shares their hosting.
- Teammates are added to the host's Google Calendar event, where guests can see their email addresses. Google does not send them an invitation; CallSlot sends them the same booking emails as the host. Guests are not emailed about team changes.
- A booking can also list other attendees: email addresses from the event type's Always invite list. They get the calendar invite and the host emails. They are not guests: they do not take a seat and get no manage link. You see them next to the teammates on the row and in the calendar side panel.
- The team cannot change on a meeting that is cancelled or has already started. The host of one date of a series cannot change. The new host must be free at that time.
- Changing the host is best effort. The meeting link stays the same and stays on the previous host's Zoom or Google account, so make sure your meeting provider is set up correctly before the call.
The calendar view
Calendar shows the same meetings on a grid, plus the events from connected Google calendars. Select a meeting to open the side panel.
- Edit details changes the title and the description. Nothing else changes and the guest is not emailed.
- Copy guest link copies the guest's private link, so you can send it yourself.
- Ask to reschedule and Cancel booking do the same as on the list.
- A cancelled meeting shows its Cancellation reason in the panel.
- You cannot drag or resize a meeting on the grid. Times only change through the guest.
What guests can do
- Every confirmation email carries a private link. From it a guest can cancel or reschedule, and give a reason.
- Guests can cancel, Guests can reschedule, and the two minimum notice fields sit under Booking policies on the event type. They are free on every plan and they apply to meetings that are already booked.
- A meeting that has already started cannot be cancelled by the guest, but it can still be moved.
- A link opens one meeting and no other. After the meeting is cancelled the page only says so. Ask guests to keep the link private.
- The confirmation page has buttons to add the meeting to a calendar, and the confirmation email carries a calendar file.
- There is no no-show mark. A guest who does not arrive stays an ordinary past meeting.
Emails we send
A booking sends a confirmation to the guest and a new booking notice to you. After that we send reminders, and a cancellation or a moved-meeting email when the time changes.
